SAP
ranks third among world producers of integrated software
solutions.
SAPience, its Belgian User Group held its annual meeting
at the Château du Lac last November. Flash-back
to a thoroughly well-programmed “User Day Event”…
and a flexible organisation.

Quality … and the importance of quantity.
“Quality is of the utmost concern when we create
an event”. This underlying principal was expressed
by SAPience’s Event Manager. Thus the choice of
the Château du Lac for their forum of 9 November
2002. “The site is exceptional, splendid. It brings
together all the practical assets we consider essential:
central location, easy access, very high quality meeting
rooms and, especially, enough of them. This is rare,
even unique in the Belgian hotel industry”.

attendees in total sync at the SAPience User Day Event.
SAPience
is a “SAP User Group”. It brings together
the representatives of SAP’s client and partner
companies. Meeting at an annual forum, these 300 integrated
software solutions professionals share their experiences,
exchange opinions on their work methods and express
new ideas about product evolution and the future.
The forum is also a an opportunity for promotion, to
understand the added value for users and how to make
optimal use of SAP products.
A
rigorous programme.
SAPience’s User Day Event included plenary sessions
in the morning, with two outside speakers and smaller
group meetings in the afternoon covering five Customer
Case areas: E-procurement, ERP, Specific Solutions,
Portal and Technology.
In addition to the meeting rooms (for 300 people), it
was necessary to set up interpreter booths and prepare
rooms for breaks, lunch and the closing cocktail.
Flexible
organisation.
Thanks to the Château du Lac’s modular space,
holding several simultaneous (and even interactive)
small group meetings was not a problem. The Château
is a model of flexibility and so is its staff. In the
end, SAPience’s User Day Event welcomed more people
that expected. It was therefore necessary to find last
minute solutions: reassign rooms, find an additional
room for the video sessions, add offices for small group
Executive meetings and prepare a room for their lunch.
In summary SAP, the master orchestrators of integrated
solutions discovered in “Inge Smets (the Château
du Lac’s Conference and Events Manager) a virtuoso
at managing the unexpected and at finding the magic
solution!”
